Tips for Showing and Exhibiting (continued)

     Shipping the work is the next issue.  First, if you have glass on any of your work, change it to plexiglas.  In fact, that is required by most shows now. It has the problem of scratching easily we realize but it won't break and cut your work to ribbons.  From there, invest is some good shipping boxes that will handle your work.  If your work is sculpture, ceramics or other three dimensional work you may have to do, or have custom packing done.  There are a lot of good art shipping services available. Check you local directories for art shipping companies.  There are also may that advertise online - in fact there may well be some with Google ads on this site.  Have the work packed well, but also have it packed in a way that can be redone easily by the gallery staff on the other end once the work is ready to be returned.

If your work is 2d, invest in a few good  lightweight ART shipping boxes.  NOTE: Did you remember to check the show you are about to send your work to's size limits?  There are some wonderful ones being made that are lined with foam and very secure and easy to use.  If proper care is taken they will last for some time and they are very much worth the invesment. Air Float Systems from Mississippi makes a very good box as does U-Line (distributed nationally through packaging supply companies).

 

UPS or Fedex, are probably the easiest ways to ship your artwork any more if the work is reasonably sized and shaped.  The art shipping services mentioned earlier are also excellent, however you will usually pay a bit more for their services.  UPS and Fedex as well as the art the art shippers are great for oversized work as well.  Another thing to make sure you do is make sure that you are aware of any special delivery instructions for the exhibition.  They may have specified dates and times that they can or will receive work.  You have to be aware of this and make the shipper aware of it as well so that they can schedule delivery on the proper day at the right time.  

Remember, you will be paying for the shipping both ways (if your work doesn't sell during the show).  You will need to include a pre-paid return shipping form with the outbound shippment to make sure it gets home again.  If you feel the work may sell - keep on the sunny side right - you can also arrange for a COD return shippment or send a paid shipping bill to the gallery once the show closes and you know if your piece has sold or not.

Insuring your work during shipping is often tough as many shippers will not insure artwork. you can ship it but it won't be insured.  The best way to handle this is by having a small business insurance policy that can cover your work during transit.  Reputable exhibitions will cover the work while it is on exhibition but they can sometimes get a bit sketchy when the work is sitting in storage waiting to hang - so,  this is another thing to check on when you are investigating the show to see if it is right for you.  And, it is important to understand how much coverage they have on the exhibit.  In therwords if your work goes up in a blaze of glory, is it covered for the full retail value or just  a divied up percentage of a blanket coverage plan.

 

Hang on to your tracking number and verify with the shipping service that the package arrived when it was scheduled to.  You can check this online very easily.  it s a good idea to then check in with the exhibition director and verify that the work arrived and in good condition.  If there is a gaping hole in the box you want to know about it before it is unpacked so claims get filed properly.  Fortuneately, this is rare but check in anyway.  On the homeward bound side of the tracks, do the same thing.  Ask that you be notified when the work shipped and verify the tracking number.  It all sounds like such a pain in the .... but it is worth it over the long haul.

Somewhere in all that, also send out a press release or write an announcement on your blog.  Post a news item on ArtDeadline.com.  There news feeds go to organizations all over the world.  That really is very cool.  Also get the word out to your mailing list - you never know who will happen to be in Baltimore that weekend or whose brother lives in Nantuckect and loves to attend art openings....  Send informaition about the show to galleries, arts organizations, friends and relations, relations of friends and friends of releations in the city asking them to come to the opening and support you, or to see your work in the case of a gallery you may be hoping to court.

Now for the fun part. After all that, bet you though there wasn't going to be one? Well its up to you.  However you may seriously wish to consider attending the opening of the show.  Sometimes shows are good resume item builders and other times the shows can mean a lot more to your career.  Some very good galleries run exhibitions to find new artists to represent.  Your attendance at the show may just help seal a representation arrangement in a new city.  Many shows are excellent opportunities to work on your network of contacts around the country.  Go with the goal of meeting key people at the show and getting to know them a bit.  This may include the jurors, museum directors, key funders, collectors, etc.  Often artists are adverse to this type of thing for various reasons.  Look at it this way; you got into the show and the opening is a celebration of at least in part, your work.  People like to meet the artists at this type of event.  They want to know about you - after all you were special enough to create the work that was accepted to the show.  If nothing else, it will be a fun weekend away, and a chance to scope out the art scene in a different part of the country.

Last, and most important, follow up!  Send a note of thanks (not an e-mail) a real paper note card with an image of your piece that was part of the show, to the exhibition director, the juror, and any contacts that you made at the show or otherwise suring your trip.  Also make sure that the names and addresses are included in your ever growing mailing list.  Update your resume, web site, newsletter, etc. with news of the show. Let your galleries know so they have something more to tell their clients about you.  Let the rest of your mailing list know about the show as well and that the piece is available.
